AI FOR PERSONAL INJURY LAW FIRMS · DONE FOR YOU BY ASTRA AI Every injury inquiry answered in minutes. By a team that never clocks out.
Astra AI designs, installs and runs a team of 19 AI agents built for personal injury firms. They answer inquiries, chase records, keep clients informed and watch your dates. A lawyer approves every legal call.
Here is where a personal injury firm loses cases before they start.
- Missed calls and unanswered forms. A person hurt in a crash contacts more than one firm. The first one to answer usually gets the case. In Clio’s 2024 test of law firms, 39 percent of calls went to voicemail, and 48 percent of firms could not be reached even after the tester left a message.
- Slow follow-up. A 2011 Harvard Business Review study found that companies that contacted a lead within an hour were nearly seven times as likely to qualify it as those that waited longer. It looked at business sales leads, not law firms.
- No review engine. A closed client who is never asked never posts a review.
- No past-client reactivation. Past clients and their families are a low-cost source of new matters. Most firms have no system for keeping in touch with them.
- Admin load on lawyers and paralegals. Chasing medical records, answering "where is my case," building chronologies, tracking costs and liens. This is the work that keeps a paralegal from handling more matters.
You did not go to law school to run an answering desk.
Why we built it like a firm
We build software that gives AI a memory. That is what MIND is.
One AI doing everything is the wrong design. It forgets. It has too much access. And nobody knows what it did.
So we design it like a firm. Different jobs. Nineteen roles, each with a clear owner. Each one sees only what its job needs. And one shared file room, so nobody asks the client the same question twice.
Giving each agent its own account, its own credentials and its own permissions takes deliberate setup. Nobody gets that for free. That setup is the work we do before your team sends its first message.
And for a law firm there is one rule above all the others: a lawyer decides. Every agent in this team has a named human approval point. We build it, we run it, and we keep it running. You stay the lawyer.

Works in: CallRail, your phone system (it hands over the lead), Clio Grow. You approve: Wording and opt-out language. Staff is alerted on every use.
- After-Hours Intake Agent: Collects the facts at night and on weekends through chat, text and web forms, and flags urgent matters to the on-call lawyer. - Records and Treatment Tracker Agent: Tracks every records and bills request, reminds providers, logs what arrives and lists what is missing. Works in: CASEpeer, Filevine, fax and email. You approve: A paralegal confirms each request list. The agent never advises a client on care.
- Demand Package Prep Agent: Builds the medical chronology, bills summary and exhibit index from the file for the lawyer’s demand letter. Works in: Filevine, CASEpeer, Clio Manage, Word. You approve: A lawyer writes and approves the demand. All agent output is labeled draft.

- Case Cost and Lien Tracker Agent: Tracks advanced costs, liens and the settlement disbursement checklist. Works in: CASEpeer, Filevine, QuickBooks, LawPay. You approve: Your bookkeeper and a lawyer sign off on every disbursement.
- Compliance Monitor Agent: Checks outbound messages and ad copy against the firm’s rules, the consent log and quiet hours, and lists exceptions every week. Works in: Lawmatics, Clio Grow, CallRail, ad accounts. You approve: The managing lawyer reviews the weekly report.
- Owner Daily Brief Agent: Sends the owner one morning message: new inquiries, signed cases, pending retainers, deadlines and anything missed. Works in: All of the above, through MIND. You approve: None. The owner reads it.
How the agents work together
- Missed call to booked consult: Missed call → Missed-Call Text-Back Agent → Case Qualifier Agent → Consult Booking Agent → Lawyer’s calendar → Retainer Follow-Up Agent → The lawyer sees a one-page summary before the first call
- Night inquiry to morning decision: Late-night web chat → After-Hours Intake Agent → Urgent flag to the on-call lawyer if needed → Case Qualifier Agent → Owner Daily Brief Agent at 7:00 am → Lawyer accepts or declines
- Signed case to demand letter: Retainer signed → Records and Treatment Tracker Agent → Client Update Agent keeps the client informed → Demand Package Prep Agent builds the draft package → Deadline Watch Agent keeps the dates → Lawyer writes the demand
- Closed case to the next case: Case closed → Review and Reputation Agent → Past-Client Check-In Agent a year later → Referral Partner Agent logs the new matter back to its source → Lead Source Reporter Agent shows what that source was worth
- Every message gets checked: Any outbound message from any agent → Compliance Monitor Agent checks it against consent and wording rules → Weekly exceptions go to the managing lawyer
A day with your team
- 7:00 am Owner Daily Brief lands: overnight inquiries, pending retainers, deadlines this week.
- 8:30 am Case Qualifier summaries are waiting. You accept or decline.
- 10:00 am A call is missed during a deposition. Once your phone system passes it along, Missed-Call Text-Back follows up with the caller by text within a minute.
- 12:00 pm Records and Treatment Tracker reports three requests answered and two overdue.
- 2:00 pm Demand Package Prep hands your paralegal a draft chronology.
- 4:30 pm Retainer Follow-Up nudges two unsigned engagement letters.
- 6:00 pm Review and Reputation asks a closed client for a review.
- 9:00 pm After-Hours Intake takes a message from a new inquiry and flags it for morning.
Works with what you use
Clio, Filevine, CASEpeer, Lawmatics, Lead Docket, Law Ruler, CallRail, Google Business Profile, Google Calendar, Outlook, DocuSign, QuickBooks, LawPay. Runs on the AI you already use: Grok Bot, Muse, Dots, Hermes, OpenClaw or Claude.
How deep each tool connects is scoped on your call.
Built for personal injury law rules
- Contact only people who contacted you first: agents reply to people who reached out to the firm. They never cold-call, cold-text or cold-message an accident victim. Confirm your state’s version of the solicitation rules.
- Accident waiting periods: some states have waiting periods or bans on written outreach about an accident. Outbound written outreach to people who did not contact the firm is off by default, and the Compliance Monitor Agent flags any message that mentions a recent accident.
- Advertising rules: content drafts contain no result promises, no "we win" claims and no testimonials without the firm’s approval. The Referral Partner Agent never gives anything of value for a referral.
- AI and confidentiality: each agent gets its own account, credentials and permissions so it sees only what its job needs. The firm gets a written AI-use policy and specific AI-use wording for engagement letters.
- No unauthorized practice of law: no agent gives legal advice, tells a client what a case is worth, or accepts a case. Every agent has a named human approval point.
- Texts: marketing texts go only to people who gave written consent. STOP and similar words end all messages. Send windows default to 8 a.m. to 8 p.m. in the recipient’s time zone. The consent log lives in MIND.
- No AI-voice marketing calls.
- Recordings: any recorded or transcribed conversation opens with a recording notice, because some states need every party to agree.
- Licensed people decide: the agents handle intake, drafting, reminders and data work. A lawyer decides every legal question.
- This is not legal advice. Your lawyers own compliance, and your state bar and counsel make the final call on your rules.
What it is worth, and what it costs
- The Always-On Intake Desk ($7,858.45/mo): Covers every hour of the month, nights and weekends included. About 4.2 full-time seats of round-the-clock coverage. Customer service representatives $21.53/hr x 730 hrs x 50% = $7,858.45. (730 hrs = 8,760 hours a year / 12.)
- The Case Support Desk ($2,615.76/mo): Keeps every case moving and every deadline visible. Paralegals and legal assistants $30.24/hr x 173 hrs x 50% = $2,615.76.
- The Marketing and Referral Team ($3,275.76/mo): Keeps your name in front of local people and referral sources. Market research analysts and marketing specialists $37.87/hr x 173 hrs x 50% = $3,275.76.
- Client Care and Reputation ($1,862.35/mo): Keeps clients informed and asks happy ones for reviews. Customer service representatives $21.53/hr x 173 hrs x 50% = $1,862.35.
- Back Office, Compliance and the Owner Brief ($4,084.53/mo): Tracks case costs and liens and briefs the owner each day. Bookkeeping, accounting and auditing clerks $24.36/hr x 173 hrs x 50% = $2,107.14. Secretaries and administrative assistants $22.86/hr x 173 hrs x 50% = $1,977.39.

- Prompt and Routine Library ($1,738.40 one-time): The scripts, message sets and daily routines every agent runs, plus a short runbook for your staff. Technical writers, 40 hrs x $43.46.

Total value: $30,191.89. $2,500/month · AI running costs billed at cost · cancel any time
Value is what it would cost to hire the closest roles at national median pay (U.S. Bureau of Labor Statistics, May 2025), at the share of a full-time role the agents cover, before payroll tax and benefits. The agents do not replace a person one for one. One-time lines use the same wages as a low stand-in for consultant time. It is not a promise of results.

Frequently asked questions
How do law firms use AI for intake?
Most personal injury law firms start with one AI tool, like a chatbot or a writing assistant. The bigger gain comes from a team: 19 agents that each own one job, such as answering injury inquiries in minutes, running intake, updating clients and chasing records. They share one memory in MIND, so nothing restarts from zero. Astra AI designs that team for your office, installs it on the AI you already use and runs it every month. A licensed person on your team approves legal advice and case decisions.
What does the AI cost to run?
Our management fee is $2,500 a month. What the AI itself costs to run is billed separately, at cost. We estimate it with you before you start and show you the usage every month.
Do I have to switch software?
No. The team works inside the case management, intake and calendar tools you already use.
Is this legal under bar rules?
It is built around them. Agents reply only to people who contacted you first. They never reach out cold to accident victims, never promise results and never pay for referrals. A lawyer approves every legal decision. This is not legal advice. You and your state bar make the final call, and we recommend your ethics counsel read our setup.
What about client confidentiality?
Each agent has its own account and permissions. We follow the ABA’s guidance on generative AI, including specific disclosure in your engagement letter. We do not promise any security outcome. We tell you exactly what we set up.
Can the agents text people?
They text and message people who contacted you or who gave written consent. Texts follow federal and state rules, including opt-outs and quiet hours. No AI-voice marketing calls.
Will it replace my staff?
No. It takes the repeat work so your people handle the work that needs a person.
Who owns my data?
We go over what is stored, where, and what happens if you cancel on your first call, before you commit to anything.
How fast is setup?
We give you a dated plan on your first call.
Is there a free trial or a guarantee?
No. We do not offer free pilots, refunds or guarantees. What you get is a team designed for your firm, installed, and run by us. You can cancel any time.
