AI FOR CONTRACTORS AND HOME SERVICES · DONE FOR YOU BY ASTRA AI Every lead answered in minutes, even when you are on the roof.
Astra AI designs, installs and runs a team of 19 AI agents built for roofing, HVAC, plumbing and remodeling companies. They answer leads, book estimates, follow up and chase invoices. You set the prices and the rules. The team follows them.
Here is where a contracting company loses jobs.
- Missed calls and slow replies. A roof job averages $9,609 and an HVAC replacement averages $7,500 (HomeAdvisor cost guides). Those jobs start with a call you cannot take because you are on a ladder. A 2011 Harvard Business Review study found that companies that contacted a lead within an hour were nearly seven times as likely to qualify it as those that waited longer. It looked at business sales leads, not contractors.
- Night emergencies. A burst pipe or a dead furnace goes to whoever answers first.
- Open estimates with no follow-up. The estimate goes out. Then nothing.
- No reviews, no reminders. Happy customers are not asked for a review. Past customers are not reminded about the next tune-up, inspection or maintenance plan.
- Admin at night. Invoices to chase, permits to track, orders to confirm. The owner is at the kitchen table after dinner.
You became a contractor to do the work, not the paperwork.
Why we built it like a contracting company
We build software that gives AI a memory. That is what MIND is.
One AI doing everything is the wrong design. It forgets. It has too much access. And nobody knows what it did.
So we design it like a good contracting company. A lead desk. An estimate desk. A back office. Nineteen roles, each with a clear owner. Each one sees only what its job needs. And one shared job file, so nobody asks the customer the same thing twice.
Giving each agent its own account, its own credentials and its own permissions takes deliberate setup. Nobody gets that for free. That setup is the work we do before your team sends its first message.
And in home services one rule rides above the rest: you set the prices. The agents follow your price book, your license and your rules. We build it, we run it, and we keep it running. You stay the contractor.

How the agents work together
- Missed call to booked estimate: Missed call → Missed-Call Text-Back Agent → Estimate Qualifier Agent → Estimate Booking Agent → Estimator calendar → Estimate Follow-Up Agent if unsigned
- Night emergency: Message at 11 pm → Emergency After-Hours Intake Agent follows your script → On-call tech gets a text → Job Status Agent keeps the customer informed → Owner Daily Brief Agent lists it at 6:30 am
- Estimate to signed job: Estimator marks the visit done → Proposal Draft Agent builds the draft with required notices → Estimator sends → Estimate Follow-Up Agent checks back → Warranty and Permit Tracker Agent opens the permit once signed
- Finished job to repeat customer: Job closed → Review Request Agent → Maintenance Plan Agent offers a plan → Seasonal Campaign Agent reaches the customer before the next season
- Every message gets checked: Any outbound item from any agent → Compliance Monitor Agent checks license number, notices and consent → Weekly exceptions go to you

- 8:00 am Estimate Qualifier summaries are waiting, with the year the house was built and any insurance flag.
- 10:00 am You are on a roof and a call goes unanswered. Once your phone system passes it along, Missed-Call Text-Back follows up with the caller by text within a minute.
- 12:00 pm Estimate Follow-Up checks back on yesterday’s estimates.
- 3:00 pm Proposal Draft hands the estimator a draft with the required notices attached.
- 5:30 pm Review Request asks three happy customers for a review.

Works with what you use
ServiceTitan, Housecall Pro, Jobber, JobNimbus, AccuLynx, Buildertrend, CompanyCam, QuickBooks, Google Business Profile, Google Calendar, Angi lead inbox, HomeAdvisor lead inbox. Runs on the AI you already use: Grok Bot, Muse, Dots, Hermes, OpenClaw or Claude.
How deep each tool connects is scoped on your call.
Built for roofing, HVAC, plumbing and remodeling rules
- Texts: marketing texts go only to customers with written consent. STOP and similar words end all messages. Send windows default to 8 a.m. to 8 p.m. in the recipient’s time zone. The consent log lives in MIND.
- No AI-voice marketing calls.
- Right to cancel: for sales made at the customer’s home, the Proposal Draft Agent attaches the written three-day cancellation notice the FTC requires, and the Compliance Monitor Agent checks for it.
- License number: every post, ad draft and proposal gets the license number you provide for that state. No license number, no draft. Rules differ by state.
- Roofing and insurance claims: agents never say "we’ll cover your deductible." They never read a policy, argue coverage or negotiate a claim. The Estimate Qualifier Agent only notes that a claim is involved and tells your estimator. Required notices are added to proposals for the states in play.
- Lead-safe work: the Estimate Qualifier Agent asks the year the home was built. Homes built before 1978 get a flag for the estimator and the schedule, because paint-disturbing work needs a lead-safe certified firm.
- Trade licensing: the agents do not book or quote work outside the license classifications you list.
- State contract rules: you name the states you work in, and we map each state’s contract and notice rules before launch.
- Recordings: any recorded or transcribed conversation opens with a recording notice, because some states need every party to agree.
- You set the prices: agents follow your price book. They never promise a price you did not set.
- This is not legal advice. You and your counsel make the final call on your rules.
What it is worth, and what it costs
- The Always-On Lead Desk ($8,833.00/mo): Covers every hour of the month, nights and weekends included. About 4.2 full-time seats of round-the-clock coverage. Dispatchers, except police, fire, and ambulance $24.20/hr x 730 hrs x 50% = $8,833.00. (730 hrs = 8,760 hours a year / 12.)
- The Estimate and Proposal Desk ($3,274.89/mo): Follows up every estimate and drafts the proposal. Cost estimators $37.86/hr x 173 hrs x 50% = $3,274.89.
- The Marketing Team ($3,275.76/mo): Keeps your work visible to local buyers. Market research analysts and marketing specialists $37.87/hr x 173 hrs x 50% = $3,275.76.
- Customer Care ($1,862.35/mo): Keeps customers informed and asks for reviews. Customer service representatives $21.53/hr x 173 hrs x 50% = $1,862.35.
- Back Office, Permits and Compliance ($3,994.57/mo): Chases invoices, tracks permits and warranties, and briefs the owner. Billing and posting clerks $23.32/hr x 173 hrs x 50% = $2,017.18. Secretaries and administrative assistants $22.86/hr x 173 hrs x 50% = $1,977.39.

- Integration and MIND Memory Build ($5,230.40 one-time): Connecting your software, calendar, forms and email, and loading your history into MIND. Software developers, 60 hrs x $65.38 = $3,922.80, plus 20 hrs x $65.38 = $1,307.60 for the memory load.
- Prompt and Routine Library ($1,738.40 one-time): The scripts, message sets and daily routines every agent runs, plus a short runbook for your staff. Technical writers, 40 hrs x $43.46.
- Compliance and Security Guardrail Build ($1,490.64 one-time): Separate accounts, credentials and permissions per agent; consent logging, opt-out handling and approval gates. Not legal advice. Information security analysts, 24 hrs x $62.11.
Total value: $31,735.61. $2,500/month · AI running costs billed at cost · cancel any time
Value is what it would cost to hire the closest roles at national median pay (U.S. Bureau of Labor Statistics, May 2025), at the share of a full-time role the agents cover, before payroll tax and benefits. The agents do not replace a person one for one. One-time lines use the same wages as a low stand-in for consultant time. It is not a promise of results.

Frequently asked questions
How do contractors use AI?
Most roofing, HVAC, plumbing and remodeling contractors start with one AI tool, like a chatbot or a writing assistant. The bigger gain comes from a team: 19 agents that each own one job, such as answering web leads in minutes, following up on estimates, booking jobs and asking for reviews. They share one memory in MIND, so nothing restarts from zero. Astra AI designs that team for your office, installs it on the AI you already use and runs it every month. A licensed person on your team approves pricing and anything sent to an insurance carrier.
What does the AI cost to run?
Our management fee is $2,500 a month. What the AI itself costs to run is billed separately, at cost. We estimate it with you before you start and show you the usage every month.
Do I have to switch software?
No. The team works inside the field service, estimating and calendar tools you already use.
Is this legal for a contractor?
It is built around the rules: written consent for marketing texts, opt-outs, quiet hours, your license number on every post, and the required cancellation and insurance notices on proposals. Rules differ by state, so we map the states you work in before launch. This is not legal advice. You and your counsel make the final call.
Will it handle insurance roofing?
It notes when a claim is involved and tells your estimator. It does not read policies, argue coverage or touch deductibles. Many states bar contractors from doing that.
Can the agents text people?
They text and message people who contacted you or gave written consent. No AI-voice marketing calls.
Will it replace my office staff?
No. It takes the repeat work so your people handle the work that needs a person.
Who owns my data?
We go over what is stored, where, and what happens if you cancel on your first call, before you commit to anything.
How fast is setup?
We give you a dated plan on your first call.
Is there a free trial or a guarantee?
No. We do not offer free pilots, refunds or guarantees. What you get is a team designed for your company, installed, and run by us. You can cancel any time.
